1. Information we collect
We collect account and transaction information such as your name, email address, phone number, brokerage or team, market, membership plan, billing identifiers, and support communications. Stripe processes payment-card information; ToneIQ Close Lab does not receive or store full card numbers.
We also collect the content you choose to submit for coaching, including call context, desired outcomes, improvement goals, transcripts, notes, and private file links. Do not submit passwords, payment-card details, government identification numbers, medical information, or other information that is unnecessary for the coaching request.
2. How we use information
We use information to authenticate members, verify payment and subscription status, accept authorized submissions, generate and review private scorecards, deliver reports, provide customer support, prevent abuse, maintain security, measure service operations, and comply with legal obligations.
We do not sell conversation content or use it for advertising profiles. We do not publish customer submissions or reports without the customer’s express authorization.
3. AI-assisted processing
Transcript or note content may be sent to an AI service provider to generate an evidence-linked draft scorecard. The system is instructed to use only the submitted conversation, and generated reports may be reviewed before delivery. AI output can be incomplete or incorrect and should be treated as coaching—not as a factual, legal, financial, employment, or brokerage determination.
4. Service providers and disclosures
We may disclose the minimum information needed to vendors that provide hosting, database and authentication, payment processing, AI processing, email delivery, monitoring, and operational automation. These providers may include Vercel, Supabase, Stripe, OpenAI, and Resend, depending on the features in use. We may also disclose information when required by law, to protect rights or safety, or in connection with a business transaction subject to appropriate safeguards.
5. Storage, retention, and deletion
Account records, submissions, and reports are retained while needed to provide the service, maintain the member history, resolve disputes, prevent fraud, and meet legal or accounting obligations. The current launch version stores transcript or note content and private file links with the submission record; it does not automatically delete them immediately after report delivery.
You may request deletion of eligible account content by emailing hello@toneiqcloselab.com from the account email. We may retain limited records where required for billing, security, fraud prevention, dispute resolution, legal compliance, or backup integrity. Deleting a report may not remove copies that you or another authorized recipient previously downloaded or shared.
6. Security and report links
We use access controls, encrypted network connections, private database credentials, signed payment webhooks, and long random report tokens. No system is perfectly secure. Keep magic links and private scorecard links confidential, use a secure email account, and notify us promptly if you believe access has been compromised.
7. Your choices
You may update billing through the member portal, opt out of non-service marketing, request access to or correction of account information, and request deletion where applicable. We may need to verify your identity before completing a request.
8. Children and prohibited submissions
The service is intended for adults acting in a professional capacity and is not directed to children. Do not submit conversations involving minors or unusually sensitive personal information unless you have a lawful, necessary, and documented basis to do so.
9. Changes and contact
